Why we write these

Orlando Commercial HVAC technician talking with a property manager about a rooftop unit

Commercial HVAC is one of those trades where property managers have almost no way to judge a quote. You have no idea whether $14,000 for a rooftop replacement is fair, whether a PM contract is actually worth the annual cost, or whether the technician telling you a unit needs full replacement is being honest or upselling. That information gap is where people get taken advantage of.

So we publish the numbers. What RTU replacement actually costs in Orlando, the warning signs that precede most emergency breakdowns, and what should actually be in a maintenance contract. If reading one of these convinces you that you do not need to hire anyone yet, that is a good outcome.

What we cover, and what we deliberately do not

We write about four things: what work costs, how to tell a real repair from an unnecessary replacement push, when maintenance contracts pay for themselves, and how sizing and efficiency retrofits actually work. Those are the four subjects property managers actually need help with, and they are the four where bad information is most expensive.

What we do not write is the filler that dominates this niche — the “five signs you need HVAC service” posts that exist to hold keywords and say nothing. If an article here does not contain at least one number you can act on, it should not be published.

Popular topics

Cost questions come up most, followed by repair-versus-replace decisions and maintenance contract scope. If you have a question we have not covered, call (407) 676-7681 or send it through the contact page — the good ones become articles.

Who writes them

Working technicians, not a marketing agency. That matters because most of the useful detail in this trade is the kind you only learn by diagnosing the same failure a hundred times. Matching a replacement unit to the existing curb, the fact that a short-cycling unit is almost never a refrigerant problem alone — none of that appears in a manufacturer brochure, and all of it changes what you should ask for.

It also means we will occasionally tell you something that costs us a job. The article on warning signs of RTU failure exists partly to help property managers catch a repair before it becomes an emergency replacement, which is a worse outcome for our schedule this month and a better one for the referral in a year, and we would make that trade every time.

If you are trying to work out whether a quote you have been given is fair, read the cost article first — it lists the questions that make two quotes genuinely comparable. If you are deciding whether to repair or replace an aging unit, the warning-signs article covers what to watch for. And if you are evaluating a maintenance contract, our contract guide walks through exactly what should be included.

Questions

Commercial HVAC questions we get most

What a rooftop unit replacement costs. Most 3–5 ton package unit replacements in metro Orlando run $9,500 to $18,000 installed. The reason it comes up constantly is that almost nobody in this trade publishes prices, so property managers have no reference point for judging a quote.

Look at the unit’s age and repair history. A unit under 10–12 years old with a single component failure is usually worth repairing. A unit past 12–15 years, on its second compressor failure, or still running R-22 is usually worth replacing.

Quarterly visits are standard for most commercial package units in Florida’s climate, with filter changes, coil cleaning and electrical checks each time. Units running near-continuously in hospitality or retail settings sometimes justify more frequent visits.

Once a quote is approved, most replacements are scheduled same-week to two weeks out depending on equipment lead time. The install itself is typically completed in a single day for most package units, with commissioning and a walkthrough the same visit.

Most commonly a door seal issue, a dirty condenser coil, or a refrigerant charge that has drifted low over time. Fixing the root cause rather than just adding refrigerant solves this in nearly every case.

Peak summer, when units run near-continuously and marginal components finally fail under sustained load. Scheduling a PM visit before peak season catches many of these failures before they become emergencies.

For most commercial accounts, yes — a real PM contract catches failing components before they cause an emergency shutdown, which usually costs less than the emergency call plus the business disruption. The math changes for a very new unit under manufacturer warranty with low run hours.

Yes, and the good questions become articles. If there is something you cannot find a straight answer to, call us or send it through the contact page. Most of what is on this blog started as a question someone asked us on an estimate.
